Wyndham Vacation Rentals Reservation Terms, Aspen & Snowmass

 

Wyndham Vacation Rentals looks forward to making your stay with us at the Inn at Aspen or Snowmass Lodging Company by Wyndham Vacation Rentals a truly enjoyable experience. We ask that you please take a moment to read this confirmation in full. When you book lodging with the Inn at Aspen or Snowmass Lodging Company, you must understand and fully accept the Rental Agreement set forth for these accommodations. Thank you.

 

GENERAL: Payment of deposits by guest or guest's agent constitutes acceptance and confirmation by the guest and guest's agent of the deposit and cancellation and use policies, restrictions, and additional information given in this Rental Agreement. If a credit card is used by guest or guest's agent for advance deposits or payments, guests and guest's agent hereby agree to have the advance deposits and payments listed in the guest's confirmation charged to the credit card, and further agree that said amounts shall be subject to the deposit and cancellation policies given in this Rental Agreement. Any changes in the deposit and cancellation and use policies are effective only if executed in writing by an officer or the General Manager of the Inn at Aspen or Snowmass Lodging Company. The term "occupant" or "occupants" as used in this Rental Agreement includes the registered guest and all other persons who occupy the hotel room.
 
Guest is responsible for payment of all nights confirmed, regardless of guest's late arrival or early departure date. If all Deposit or Balance Due payments are not received by the due dates given, the reservation will be considered cancelled under the terms and conditions provided herein and are subject to the following deposit and cancellation policies.

 

ACCOMMODATION REQUESTS: Wyndham Vacation Rentals will make every effort to ensure that you get the exact property/unit you request. If circumstances beyond our control prevent us from honoring your specific request, we will transfer your reservation to a comparable or upgraded unit based on availability.

 

CHECK-IN AND CHECK-OUT TIME:
Inn at Aspen: Check-in at 3:00 PM; Check-out at 11:00 AM. Early check-in times can be requested but will not be guaranteed. Departures after 11:00 A.M. will be charged half of the daily rate and after 3:00 P.M. will be charged one full daily rental rate.
 
Snowmass Lodging Company: Check-in at 4:00 PM; Check-out at 10:00 AM. Early check-in times can be requested but will not be guaranteed.

 

DEPOSIT POLICIES:
 
Inn at Aspen: At the time of booking, 50% of entire reservation will be collected. During the winter season, final payment is due 30 days prior to arrival. During the summer season, final payment is due 7 days prior to arrival. Payment can be made by check, money order, credit card, or wire transfer. If paying by credit card, your account will automatically be charged 30 days prior to your arrival for winter and 7 days for summer.
 
If final payment is not received in our office 30 days prior to arrival in winter or 7 days prior to arrival in summer, the reservation may be cancelled and is subject to cancellation policies. A new confirmation notice will be sent for all payments received.
 
Group deposit and cancellation policies are available upon request and will be outlined in individual group contracts.
 
Snowmass Lodging Company: At the time of booking, 50% of entire reservation will be collected. During the winter season final payment is due 45 days prior to arrival. During the summer season, final payment is due 7 days prior to arrival. During the holiday season (Christmas/New Year’s), final payment is due 60 days prior to arrival. Payment can be made by check, money order, credit card, or wire transfer. If paying by credit card, your account will automatically be charged 30 days prior to your arrival for winter and 7 days for summer.
 
If final payment is not received per the stipulations listed above, the reservation may be cancelled and is subject to cancellation policies. A new confirmation notice will be sent for all payments received.
 
Group deposit and cancellation policies are available upon request and will be outlined in individual group contracts.

 

CANCELLATION POLICIES:
 
Inn at Aspen:
Summer: If reservation is cancelled outside of 7 days prior to arrival, no cancellation penalties apply. If reservation is cancelled within 7 days of arrival guest will forfeit all monies regardless of reason of cancellation.
 
Winter: If reservation is cancelled outside of 30 days prior to arrival, no cancellation penalties apply. If reservation is cancelled within 30 days of arrival guest will forfeit all monies regardless of reason of cancellation.
 
Except for cancellations covered by travel insurance (as set forth below), you shall not be relieved of any portion of the responsibility and payment due for your reservation due to weather, flight cancellations or any travel related or other issues which may arise and which are not under the control of the Inn at Aspen. Refunds will not be made for late arrival or early departure. Cancellations received on or after the final payment due date are non-refundable. No shows, late arrivals and early departures will be charged the full amount for the entire reserved stay.
 
Snowmass Lodging Company:
Summer: If reservation is cancelled between 8 and 30 days prior to arrival guest will forfeit 10% of lodging. If reservation is cancelled within 7 days of arrival guest will forfeit all monies regardless of reason of cancellation.
 
Winter: If reservation is cancelled between 46 and 90 days prior to arrival, guest will forfeit 10% of lodging. If reservation is cancelled within 45 days of arrival guest will forfeit all monies regardless of reason of cancellation.
 
Holiday: If reservation is cancelled between 61 and 90 days prior to arrival, guest will forfeit 10% of lodging. If reservation is cancelled within 60 days of arrival guest will forfeit all monies regardless of reason of cancellation.

TRAVEL INSURANCE: We offer optional travel insurance for an additional fee. Guests who purchase travel insurance will be provided refunds for cancellation subject to the terms and conditions of the travel insurance policy.

 

RESERVATION FEE:
 
Inn at Aspen: The Reservation Fee applies to all reservations. It's calculated on a percentage basis to be consistent and fair regardless of the unit reserved. The Reservation Fee on your confirmation statement includes tax.
 
Snowmass Lodging Company: The Reservation Fee applies to all reservations. It's calculated on a percentage basis to be consistent and fair regardless of the unit reserved. The Reservation Fee on your confirmation statement includes tax.

 

PAYMENTS RECEIVED: Advance deposits or rental payments shall remain the property of and for the use of the Inn at Aspen or Snowmass Lodging Company and are subject to the cancellations policies above; and any interest income or profit from advance deposits or rental payments belong solely to the Inn at Aspen or Snowmass Lodging Company.

 

HOUSEKEEPING:
 
Inn at Aspen: The Inn at Aspen will make the beds, replenish supplies and replace towels and vacuum as necessary. Linens will be replaced every 3rd day. Please contact Reservations if you require additional housekeeping services.
 
Snowmass Lodging Company: Daily housekeeping services are included. Additional services are available for a fee. Please inquire with the front desk.

 

DAMAGE AND REPAIRS: Occupant is liable for any damages to the premises and to the furnishings, equipment, and/or household items therein which occurred during guest’s stay, excluding normal wear and tear. Please report any damages to your unit during your stay before departure.

 

INCIDENTAL CHARGES: Upon check in, occupants will be required to leave credit card information for any incidental charges. We accept American Express, Visa, MasterCard and Discover.

 

TELEPHONE USE: Local calls are free, but ALL long distance calls must be charged to a telephone card, credit card or to your home phone.

 

OCCUPANCY: Occupants receive no interest in real property, but merely acquired a license to use the condominium (subject) to the right of the Inn at Aspen or Snowmass Lodging Company to change accommodations up to and including the date of arrival. The term "occupant" or "occupants" as used in this Agreement includes the registered guest and all other persons who occupy the hotel room. TWO-PARTY OCCUPANCY In the event two parties reserve or occupy one unit and one party cancels, the other party is obligated for the standard occupancy rate.

 

TERMINATION OF OCCUPANCY: Wyndham Vacation Rentals is committed to being a good neighbor, and asks that you be considerate of those who are living or staying near your unit. Unfortunately, from time to time some occupants disturb their neighbors, by creating excessive noise, smoke, or other nuisances. Wyndham Vacation Rentals expressly reserves the right to terminate, at any time, your occupancy of your unit, and to evict you from the unit, in the event that complaints are lodged which indicate that you are disturbing the neighbors. In that event, you will also forfeit all monies previously paid to the Inn at Aspen or Snowmass Lodging Company.

 

PET POLICY: Pets are not allowed inside units or on the properties. If pets are inside units, or on the property, it shall be cause for immediate termination of the Rental Agreement without refund and additional cleaning fees may apply. This prohibition does not apply to service animals.

 

NO SMOKING: All properties are smoke free, including all public and private areas. This includes the interior of each hotel suite and room, decks, patios, hallways, lobbies, garages, and pool and hot tub areas. If smoking occurs within units, additional cleaning charges will apply.
